We are looking for a responsible, organized, and proactive Office Assistant to join our team and help ensure the smooth day-to-day operation of our office while providing administrative support to HR activities. The Office Assistant is responsible for ensuring the smooth, organized, and comfortable day-to-day operation of the office. The role also provides administrative support to HR functions, contributing to efficient daily operations and continuity of internal processes.
Key responsibilities
Office Management
Maintain the overall organization, cleanliness, and comfort of the office.
Ensure that the kitchen, meeting rooms, and common areas are properly stocked with necessary supplies.
Organize the purchase of office and household supplies.
Maintain inventory records, monitor stock levels, and provide inventory updates between the 20th and 22nd of each month.
Handle the receipt of items containing QR codes and ensure the corresponding QR codes are properly processed.
Prepare workstations for new employees.
Coordinate with suppliers and service providers.
Arrange orders, deliveries, and reservations, including transportation, restaurants, hotels, and other related services.
HR, Organizational & Administrative Support
Answer incoming phone calls and manage general correspondence.
Coordinate incoming and outgoing mail and maintain the relevant log.
Organize the delivery and receipt of documents, envelopes, and other items.
Print, copy, scan, and archive documents and contracts.
Support the onboarding process for new employees, including document preparation, distribution of welcome packages, and provision of necessary information.
Assist with interview coordination, including scheduling meetings, welcoming candidates, and preparing meeting rooms.
Support the organization of team events, meetings, corporate events, and other internal initiatives.
Assist with the preparation and distribution of internal communications.
Perform other administrative and organizational tasks as assigned by the direct manager.
Required qualifications
1+ year of experience in an administrative, office support, or coordination role is preferred.
Strong organizational skills and attention to detail.
Good time-management and prioritization skills.
